Teaching document repository

The teaching document repository provides lecturer the opportunity to make available course spezific documents, that are to be viewed or downloaded by the students. This document repository is created in the learning environment ILIAS and is accessible via "eDoz", "myStudies" and "course catalog", if the corresponding "visibility" of this learning material is set.

Rules

• The teaching document repository is created for a semester and a couse unit
• Only the main lecturer responsible for the course unit and his substitutes can create and delete a document repository in ILIAS.
• All lecturers of a course unit as well as their substitutes will automatically receive modify authorisation for the document repository in ILIAS, regardless of the visibility.
• All students registered for a course unit in the selected semester will automatically be granted view authorisation ()for the document repository in ILIAS, as long as the visibility is "students and lecturers of the course unit" or "public, students and lecturers of the course unit".
• There can be only one learning material of the category "Teaching document repository" in eDoz.
• Remark, that through the copy or update of course unit the teaching document repository will not be copied. The authorised person has to setup the teaching document repository for the copied course unit and copy the desired documents from the "old" one. 

Creating a document repository in ILIAS

If the learning material "Teaching document repository" does not yet exist, the main lecturer responsible for the course unit and his substitutes can create it in two steps  --> set up document repository and refresh URL of document repository.

Set up a document repository

By clicking "Edit" on the learning material "teaching document repository", you open a page where you can set up a document repository for a selected semester and course unit. This page contains default values which look as follows:

All data on this page can be modified, except for the URL. By clicking "Set up", the data will then be saved and a request will be sent to ILIAS to set up a document repository. Since it can take some seconds to generate it in ILIAS, the URL on the page will show the explaining text "Will be generated".

Please note, that

• the visibility is set by default to "lectures of the course unit".
• the validation information is only important for the display in the applications "myStudies" and the "course catalogue".

By clicking "Set up", you will open the "view page" of learning materials (see the image "Refresh teaching document repository" below).

Refresh URL of the document repository

Clicking "Refresh" will get the URL for the document repository if the URL is already available. If not yet, the URL on the page will continue to show the explaining text.

Publish Teaching Document Repository

Do not forget to set the desired visibility once you have uploaded the documents to anable the students resp. public to reach that document repository.

Deleting Teaching Document Repository

On the edit page of the "Teaching document repository" learning material, the main lecturer responsible for the course unit and his substitutes can also delete this learning material.

By clicking "Remove", the connection from "eDoz" resp. "myStudies" resp. "Course Catalogue", will be removed. In practice the authorized persons lose their authorisation for the document repository in ILIAS and an automatically generated request (e-mail) will be sent to the "ILIAS service" to delete the document repository in ILIAS manually.

Accessing  the document repository in ILIAS.

The document repository in ILIAS can be accessed through the link in "eDoz" resp. "myStudies" resp. "Course Catalogue" (according visibility), after a second login through AAI.

Remark: A semester corresponds to the "ILIAS category", a course unit to the "ILIAS course". The document repository will be created in "ILIAS course" as the folder "Dokumente - Documents".
